What YOU will do: 

The Benefits Specialist maintains and is responsible for the day-to-day administration of employee benefits and wellness programs.  You will serve as the primary point of contact for health and welfare benefits, workers compensation, FMLA and disability. The Benefits Specialist informs employees on benefits matters regarding eligibility, coverage, and provisions, leave tracking and administration, and works with the HRIS team to maintain accuracy of the benefits data in various systems.

  • Serve as primary point of contact for benefit and wellness inquiries for VTMAE staff. Included but not limited to health and welfare benefits, workers compensation, FMLA and disability.
  • Complete benefits reconciliations and prepares any required benefits change files.
  • Review and approve retirement/401k contribution and loan files for accuracy. Complete various retirement/401k plan tasks such as rollovers or distribution of notices.
  • Code benefits invoices and monitor timely payments.
  • Serve as primary point of contact for benefit billing questions and ensure the invoices match both benefit elections and payroll deductions.
  • Work with HR and Payroll teams to prepare benefit reimbursements, deductions, awards, etc. Processes adjustments as needed.
  • Work with HR and Benefits COE teams to assist with various benefits and wellness projects including, but not limited to, Open Enrollment, 1095C production, and audits.
  • Ensure that all benefit events requiring the Evidence of Insurability (EOI) have the correct status and are processed correctly. Ensure that the coverage of associated benefits is correct before and after the EOI completion and approval.
  • Assist with data gathering and preparation for annual 401k and workers compensation compliance test files.
  • Administer leave of absence for employees including leave planning, coordination with leave/workers comp vendors, HR/Payroll teams and managers.
  • Coordinate ADAAA process and light duty assignments.
  • Maintain accurate and timely leave records for impacted staff.
  • Administer all benefit changes in related benefits & HRI systems.
  • Ensure accuracy of benefit transactions in SAP, SF and Paylocity and with benefit vendors.
  • Work with the HRIS team to address data discrepancies as needed.

 

What YOU need:

  • Bachelor's degree in HR, Business, Finance, Accounting, or other relevant field preferred.
  • Minimum of five (3) years related experience in human resources and/or HRIS with a minimum of two (2) years employee benefits and leave, preferably in a corporate, multi-state setting; or equivalent combination of education and work experience.
  • In-depth knowledge of federal and state regulations that govern benefit programs, including HIPAA, PPACA, ERISA, COBRA, FMLA, Section 125, etc. This includes state-paid family leave and time off programs.
  • Proficient in using Microsoft Office applications (Outlook, Word, Excel, PowerPoint). Experienced in using Human Resources Information Systems (HRIS) to respond to demands for data retrieval, information processing, and reporting.
  • Strong verbal and written communication skills required.
  • Outstanding customer service skills.
  • Integrity and the ability to work with confidential information with discretion.
  • Strong problem-solving, research, and analytical skills.
  • Excellent organizational skills, sound judgment, willingness to take initiative and the ability to work independently and as part of a team.
